How to read a European PhD or postdoc advert

Decode faculty chrome, multi-track titles, deadlines, and apply links so you spend time on real opportunities.

Read a research vacancy in layers: eligibility and deadline first, then employment terms, duties, selection evidence, and the official application process. Titles vary across countries, so the qualification and contract text matter more than the label.

Use a ten-minute first-pass test

Before tailoring documents, decide whether the role is eligible, relevant, and practical. Find the official closing date and timezone, expected start date, work location, contract duration, required degree timing, language or registration requirements, and application route.

Separate hard exclusions from flexible preferences. “Must hold a PhD by the closing date” is different from “PhD awarded or near completion by the start date.” If the wording is ambiguous and the answer controls eligibility, ask the named contact before preparing a long application.

  • Am I eligible on the required date?
  • Can I work at the stated location and start within the expected window?
  • Does the research topic and daily work fit my goals?
  • Is the contract or funding duration workable?
  • Can I supply every mandatory document before the deadline?

Decode the title using qualifications and duties

Titles do not translate cleanly across Europe. Research Assistant, Research Associate, Research Fellow, Wissenschaftliche Mitarbeiter, Universitätsassistent, doktorand, and postdoktor can signal different career stages depending on the country and employer.

Use three stronger signals: the required degree, whether doctoral enrolment is part of the role, and the expected level of independence. A multi-track “PhD/Postdoc” advert may accept candidates at either stage and adjust duties or pay. A “Fellow” can be an employed project researcher, a fellowship holder, or a clinical training role.

Separate page metadata from vacancy content

Career sites often display faculty, department, hours, grade, location, and deadline in sidebars. These details matter, but they are not the full job description. A complete advert should explain the project or role, duties, essential criteria, employment terms, and how selection and application work.

If an aggregator shows one collapsed wall of labels, duplicated navigation, missing headings, or an incomplete teaser, return to the employer page or attached job pack. Do not infer requirements from a broken extract.

Translate the criteria into evidence

Create a two-column worksheet: criterion and your evidence. Mark each item essential, desirable, or unclear. Evidence can include a method used, dataset built, publication, thesis chapter, teaching evaluation, grant contribution, stakeholder project, software release, or supervised student.

Do not treat every criterion as a keyword to repeat. Selection panels need evidence at the level requested. “Experience with microscopy” might require independent operation, image analysis, protocol development, or merely familiarity; use the duties and seniority to judge the expected depth.

  • Required qualification and when it must be completed
  • Scientific domain and methods
  • Independence, collaboration, supervision, or teaching expectations
  • Outputs such as publications, software, datasets, policy work, or impact
  • Language, professional registration, travel, security, or eligibility constraints

Read the employment section as carefully as the science

Record the employer, employment status, full-time percentage, duration, probation, salary scale or stipend, work location, travel, and expected teaching or service. “Up to three years” is not the same as a guaranteed three-year contract. “Salary according to scale” may require HR to assess experience after selection.

For PhDs, distinguish admission from employment and check fees and funding duration. For postdocs, check whether extension depends on grant renewal and whether the role allows independent work. For faculty positions, identify the balance of research, teaching, administration, supervision, and income generation.

Control the application process

Use the institution’s portal and read every upload field before finalising files. Some systems request references at submission; others contact referees later. Some require a criteria statement in addition to a CV and letter. An incomplete mandatory field can prevent submission even when the advert barely mentions it.

Submit before the last hour, save the confirmation, and retain the advert or job pack because pages may disappear after the deadline. Use the stated timezone and do not rely on an aggregator countdown.

Red flags that justify a pause

Pause when the supposed employer domain is unrelated to the institution, payment is requested to apply, the contact uses an unexplained consumer email address, the description lacks identifiable work or selection criteria, or the application bypasses the institution without explanation.

Ambiguity is not automatically fraud: older university systems and consortium recruitment can look unusual. Verify through the institution’s main site, official directory, or research office rather than guessing.
